The launch of the new Toolkit Training Management platform means that existing legacy training records need to be migrated to the new system. We have provided a migration tool to help to automate the move, but some manual intervention is required on the part of a Controller.
Access to the legacy training system is being maintained until the end of August to provide plenty of time to move to the new training module.
This document provides a guide to the process, breaking it down into three stages. There is a helpful glossary of terms here.

Define your Courses
In myhrtoolkit, a training course is an outline of subject matter, CPD points, a cost centre, documentation, etc. to which events can be attached and users attend those events.
To begin defining your training courses, you need to create a list of your existing courses used in the 'legacy training' module. These can be exported from the legacy training module via
Management > Reports > Training > Training Records report.
Note - It is a good idea to select "Show all records" before exporting this report.
Once you have the training course list, you can create your courses in the new module. There are two methods:
- Import using spreadsheet
- Manual entry
Download a training course template spreadsheet and populate it with the training courses and details you'd like to add.
The training course template can be downloaded via
Management > Training > Training Importer > Training Course Importer.

Management > Training > Managed Training Courses, select the "New" button to add a training course.

Capture your Courses
Now that you have defined your new training courses, the next step is to select which legacy training records to migrate and how you wish to do so.
To start, navigate to
Management > Training > Training Migrator > Migrate to Managed Training.
This page displays a list of your legacy training records. If there are multiple legacy training records with the same name, they will be aggregated into one line, showing the number of records there are with the same name and the number of employees that took this legacy course.
Select the training records to migrate by clicking on them. Multiple legacy records can be selected at once.
Migrate your Courses
Migrating to Managed Training
Using the Managed Migration tool, select the courses you'd like to migrate, then click "Migrate Selected". This will show a popup box allowing you to search for the courses you created/uploaded during the "Define" stage.
Once you have selected the legacy training record to the relevant training course target, click "This is the correct course".
This process will migrate your legacy training record into the new training course. When the process is complete, the legacy training record will be removed.
