Myhrtoolkit has a facility for managing time off in lieu (TOIL) for employees.
Before this feature can be used in an organisation, it must be enabled by a Controller.
TOIL is enabled by navigating to
Config > System > Hours.
Select Yes and then click Update.
A message will be displayed at the top to confirm that your changes were accepted.
Recording TOIL for employees
When an employee accrues some TOIL, they will need to ask their manager to update their TOIL balance for them. Only holiday managers can record TOIL for employees.
TOIL is recorded via
Management dashboard > Holidays > Accrued TOIL, entering the amount of TOIL accrued and an optional note about the accrual. Time is recorded in hours, or a fraction of an hour.
TOIL records can only be added to the current holiday year.
Employees can check TOIL booked or accrued in
Myhome > Holidays > TOIL.
Managers can view employee's TOIL transactions in
Management dashboard > Holidays > TOIL Accrued.
Employees can request TOIL in
Myhome > Holidays > TOIL > Request TOIL.
After entering the date, time-from and time-to, the number of hours involved need to be specified. TOIL can be recorded in hours or a fraction of an hour. There is an option to leave additional notes, should they be deemed necessary.
The request is sent to the employee's holiday manager for authorisation. Employees cannot book more TOIL than they have accrued, nor can they withdraw any requested or booked TOIL, this must be done by their holiday manager.
Adding TOIL can be done manually by managers on behalf of an employee using
Management > Holidays > TOIL dates. When booked by a manager, TOIL is authorised straight away.
TOIL can only be authorised by a manager who is also a holiday manager. Following a TOIL request by an employee, an alert is placed in the manager's message board. The manager can accept or decline TOIL by following the View link and following on-screen instructions.
