Use the following instructions to send login details directly to the employee. The system will send out a Welcome email allowing them to create a username and password of their choosing.
This process should not be used to reset someone's login details if they have forgotten them.
This is because re-sending a welcome email also sends an audit-related email advising that you have changed someone's system access. This email is sent to those chosen to receive notifications relating to changes of personal details (this can be checked via Config > Access rights > Notifications).
If somebody has forgotten their login details and you need to send them a reset link, please refer to this guide.
- Go to
Config > Access rights > System access
- Click "No access" against the user
- Click Submit
- Now click "Give access" for the user
- Click Submit
- Click "Send email to the user to allow access"
The email is sent to the employee's system email address (
Management > Bulk data > People > System email). This is the first place to check if the user has not received an email.
Alternatively, you can send the employee a password reset link as this works the same way. The only difference is the wording in the email:
- Navigate to Config > Security Centre
- Find the relevant employee and select "Actions"
- Select Reset Password
This email is sent to the Controller that generates the link (which may be yourself). Once the email arrives, it then needs to be forwarded to the employee so they can use the reset link.
