Towards the end of the holiday year, it's increasingly likely that some users may want/need to carry over holiday from one year to another. The steps below will show you how a Manager or Controller can do this.
Note: In the example below, we are carrying 4 days from the current year into next year. However, carry-over could be done in a variety of ways (e.g. carrying holidays over from last year to this year, or next year to this year etc.).
Step 1 - Deduct Entitlement from the Current Holiday Year
The first step is to remove the required amount of leave from the current year's entitlement.
- Go to
Management > Holidays > Holiday in lieu/Carried-over holiday.
- Find the user in question and select 'Carried-over holiday'.
- Enter a negative value ("-4" in this example).
- Enter any notes you wish to add and press 'Submit'.
This has now deducted 4 days from this year's entitlement.
Step 2 - Add Entitlement into the next Holiday Year
The next step is to add the required amount of leave into next year's entitlement.
- Go to
Management > Holidays > Holiday in lieu/Carried-over holiday.
- There is a filter button above the list of users which should be labelled 'Current holiday year'. Change this to 'Next holiday year'.
- Find the same user as before and again, select 'Carried-over holiday'.
- Enter a positive value ("4" in this example).
- Enter any notes you wish to add and press 'Submit'.
This has now added 4 days into next year's entitlement.
Note: As mentioned above, this process can be done in reverse if you'd like to move entitlement from next year into this year etc.
Checking Your Work
Once you've completed the steps above, you can check that it has been done correctly by navigating to Employee Files > [select employee] > Holidays.
When looking at a user's holiday summary, it will show you the "Current holiday year" by default, where you deducted entitlement (from Step 1). The deduction should be shown near the bottom-left of the "Paid Entitlement" column.
You can then click the drop-down menu above this column to check the next holiday year's entitlement and make sure this shows the correct carry-over.
